Different jobs need different intake
A heating repair, a replacement estimate and a maintenance request have different urgency and information needs. Clearly label the request types and explain the contact path. An online form should never imply emergency dispatch or immediate availability unless the business actually provides it.
Capture useful project context
Ask for service type, project area, equipment context where useful and contact preference. Keep safety-critical advice out of automated qualification. The contractor’s own assessment determines technical suitability, scope and price.
Follow the estimate
Assign an owner, record contact attempts, book the assessment, track the proposal and record the decision. Distinguish an appointment request from a confirmed appointment. An integrated booking or dispatch tool needs a documented connection and failure handling.
Coordinate with the operating calendar
Lead volume must fit the technicians, service area and available appointment slots. Seasonal changes can affect capacity. Define how requests are paused, redirected or handled manually when the agreed queue is full.
Recommended scope to discuss
A service-specific landing page, request-type form, routing rules and source reporting can be scoped first. A CRM pipeline can support replacements and longer decisions. Existing field-service software should be assessed before adding another system.
Readiness
This page describes a proposed solution. It is not a live dispatch service, guaranteed appointment programme or claim of technical HVAC expertise. Any integrations, campaign management and lead supply require confirmation.
